Payment

Payment may be made by international bank transfer or by credit card. If you use a credit card you may be required to authorize the payment by calling your credit card issuer (their number will be on the back of your card).

Accompanying persons may purchase a bespoke social programme and may register for the Gala Dinner (same fee as delegates).

Cancellation Policy

⚠️ Important Information

Cancellations must be notified in writing (by mail, fax or by e-mail) to the Organising Secretariat and are subject to the following conditions:

For cancellations received up to 15 July 2026: An administrative fee of 25% will be withheld.

For cancellations received from 16 July 2026: No refunds will be issued.

All registered participants who did not notify cancellation to the Organising Secretariat in writing before the event will be liable to pay for the full registration fees.

Invitation Letter

A customised invitation letter for visa or travel funding approval purposes is only available for participants with a confirmed and fully paid registration. It should be requested during the online registration process. The letter is intended to help participants secure travel funds or obtain a visa but does not imply that ICAM 2026 will provide financial support.

📋 Important Notice:

We urge all participants to keep in mind that a visa application may take some time to be processed and should, therefore, be initiated early enough to ensure it is granted before the Congress begins. We encourage you to also check with your local Embassy regarding necessary documents, as this may differ even between individuals from the same country.

ICAM 2026 organising associations, Organisers and Azrana cannot be held responsible for the interruption or the cancellation of the event due to Force Majeure. In case of cancellation, cancellation conditions stated above will apply. Registration to the event implies the acceptance in full of the general terms and conditions.

Likewise, and especially in case of risk of harm to any person's security (and independently from any case of force majeure), the event organisers reserve the right to change the event location and, if necessary, to move the event to another country than the one initially planned. The cancellation conditions still shall apply and the event organisers strongly recommend that participants take out adequate insurance cover for cancellation.

⚠️ Insurance Recommendation: It is advised to all participants to obtain travel insurance (health, accident, repatriation, cancellation) before leaving their country of origin. ICAM 2026 organising associations, Organisers and Azrana do not bear any responsibility in case of an accident caused to a participant or accompanying person during or following the event or during any event organised in conjunction with the event.
