INSTRUCTIONS TO AUTHORS
GENERAL

The 3rd International Congress of Aviation and Space Medicine encourages high quality and relevant presentations of the latest aviation medicine research, policy developments, and interesting clinical cases at its Congress. Authors who wish to present at the Congress, either an oral or a poster presentation are requested to submit an abstract of their intended presentation for review by the Scientific Committee. The language of the abstract is English. The title of the presentation should be concise. You must use personel email addresses when entering your abstracts for communication. An individual is limited to one (1) oral presentation during the Congress, unless an exception has been granted by the Scientific Committee Chairman. Authors may present additional posters, if accepted for presentation. The first author of the abstract is normally the presenting author, and he/she bears responsibility for the content of the abstract and presentation. If a presentation is to be given by someone other than the first author, the Scientific Committee Chairman must be notified. It is the responsibility of the first author to ensure that all submitted abstracts and presented material are properly cleared for public release. The on-line abstract submission process allows authors to indicate a preference for oral or poster presentation, however the final format decision rests with the Scientific Committee.

PRESENTATION CATEGORIES

There are three presentation categories based on the topic. Authors will be required to enter abstract text under the headings as described below.

1. Original Research: Material should be original and has not been previously presented. Original analysis of a hypothesis involving data collection and analysis. Headings include Title, Country, Presenting Autor names and e-Process mail, Authors, Introduction, Methods, Results and Conclusions, CME Credit

2. Process/Tutorial Review: Typically, a discussion of information that is already available. Description of a process that is used to solve a problem or accomplish a task. Headings include Title, Country, Presenting Autor names and e-mail, Authors, Background, Description, and Discussion, CME Credit

3. Case Study: A single clinical or human performance event. Headings include Title, Country, Presenting Autor names and e-mail, Authors, Introduction, Case Description, and Discussion, CME Credit
ABSTRACT SUBMISSION PROCESS

Abstracts must be submitted online through the links provided on the Congress website. The website explains the submission process. Authors are encouraged to prepare their abstracts offline and paste them into the online submission form. Abstract limit: 400 words / 3000 characters including spaces. No tables, figures, or references should be included in the abstract. All abstracts must be submitted via the electronic submission system link. Please click the "Submit Your Abstracts" button below.

The following information is required during the submission process: Presentation Options, Affiliation, Presenting Author and E-mail, Authors, Abstract Title (Maximum 250 characters), Country, Abstract (Minimum 200, Maximum 400 words), Keywords, Preview and Check, Save and Submit to the Committee.

All Presenters are required to register for ICAM 2026. It is the author’s responsibility to obtain all necessary permissions and clearances prior to submission of the abstract.

ACCEPTANCE PROCESS

Abstracts will be reviewed by a minimum of three members of the ICAM 2026 Scientific Committee. Acceptance will be based on the abstract’s originality, relevance, scientific quality, and adherence to the guidelines provided. Following review by the Scientific Committee, all contributors will receive a notification of acceptance or non-acceptance by email. Accepted abstracts will be published in Abstract Book.

While the Scientific Committee strives to honor the presenter’s desired presentation format, for reasons such as space limitations or dissimilar content, an abstract may be changed to an alternative presentation format. Assignment of an abstract to either a poster or a slide presentation will be recommended by the Scientific Committee.

ABSTRACT WITHDRAWAL

Withdrawing abstracts is strongly discouraged. However, if necessary, a request to withdraw an abstract should be sent to the secretariat using the e-mail: secretariat@icam2026.org. The request for withdrawal must include the abstract title, authors, and reason for withdrawal. Abstract withdrawal decisions must be sent to the Scientific Committee Chair as soon as possible.

TOPIC AREAS

These will be listed on a drop-down menu on the Programme Button, Category of Topic Areas site. They are used to organize the abstracts into sessions.

CONFLICT OF INTEREST

The highest standard of ethics must be employed in the conduct and reporting of studies to be presented at the Congress. There must be no commercial promotion of products or procedures. Authors are required to declare all non-governmental or non-academic support or funding (for example, business or commercial support) for the work upon which the presentation is based. The first or presenting author must complete the Declaration for Authors in the online form.

RETENTION POLICY

It is the policy of the ICAM 2026 Organizing Committee that authors will be expected to submit a copy of their presentation (slide or poster) during the Congress for the ICAM’s retention and subsequent use. Authors are reminded that their presentations must have been cleared in advance for public release. If absolutely necessary, a slightly modified version of the presentation or poster may be submitted for retention.
